What this page covers

This policy covers chakamgroup.co.ke and the contact form on it. It does not cover data handled inside a client engagement: that is governed by the contract and data processing terms agreed for that specific piece of work.

What we collect

Only what you type into the contact form: your name, your email address, optionally your company and phone number, and your message. Nothing else is collected from you automatically.

There is no analytics package on this site. No Google Analytics, no advertising pixels, no session recording, and no third-party trackers. The site itself sets no cookies, so no cookie banner is needed. Fonts are served from our own domain rather than fetched from Google, which means no font request leaks your visit to a third party.

The one exception is booking. If you choose to open the booking window, only then does your browser load the scheduler from Calendly, which sets its own cookies under their privacy terms. Nothing is requested from Calendly until you ask for it, so browsing this site without booking sends them nothing at all.

How the contact form works

Contact form submissions are delivered by Web3Forms, a third-party form delivery service. Your message passes through their infrastructure and arrives in our email inbox. We do not store submissions in a database on this site.

The site is hosted on Vercel, which keeps standard server logs including IP addresses for security and operational purposes. That is Vercel's processing, under their terms.

Why we hold it, and for how long

The only reason we hold your details is to reply to you and, if it goes further, to run the engagement you asked about. We do not sell your information, and we do not add you to a marketing list because you sent an enquiry.

Enquiries that do not become work are deleted within 24 months. Where an enquiry becomes a client engagement, records are kept for as long as the relationship requires and any period Kenyan tax and company law obliges us to keep them.

Your rights

Under Kenya's Data Protection Act 2019 you may ask what personal data we hold about you, ask for it to be corrected, ask for it to be deleted, or object to how we are using it. Email us and we will action it within 30 days.

If you are not satisfied with how we have handled a request, you may complain to the Office of the Data Protection Commissioner in Kenya.

AI tools and your data

We do not put website enquiries into AI tools. Within client engagements, which AI services process client data is agreed explicitly before any work starts, and is set out in the engagement documentation along with what is retained and for how long.
